Applying for library cards

Access to the HKU Libraries requires the presentation of a valid library card. There are different kinds of card, each of which carries its own reading or borrowing privileges depending on the type of affiliation with the library.

HKU staff, students and alumni


I am a HKU staff. How can I apply for a library card?

A HKU staff card will be issued to a permanent staff and a full time contract staff with a contract of 12 months or more. This card also acts as a library card which entitles you full access and borrowing rights at the University Libraries.


If you are a part-time staff or contract staff with contracts of less than 12 months, you can bring your HKID card, a passport size photograph and $35 for the University-levied smart card fee to the Registration Counter, which is located at the G/F of the Main Library, to obtain a facilities access card (FAC). This FAC will be valid for the duration of the contract. Endorsement letters from Department Heads are not necessary if proper staff registration has been completed by the Human Resource Section of the Registry. The smart card generation fee will be waived for research and teaching staff and those who had obtained a FAC before. A fee of $100 will be levied for the replacement of a lost card.


I am a HKU student. Do I need to apply for a library card?

The student card also serves as your library card. Therefore, it is not necessary to apply for a separate HKUL library card.


I am a HKU alumnus. How can I apply for a library card?

There are three kinds of library cards available for HKU alumni:

  1. HKU Libraries Circle of Friends (COF) Graduate-Platinum Card:
    Apart from borrowing up to 48 books and 6 audio-visual items with a maximum of 3 movies at one time, Card Members can also enjoy remote access to over 10,000 e-journals and some 60,000 e-books! Titles will be updated constantly. Details can be viewed at http://lib.hku.hk/friends/elibrary.html Graduate-Platinum Card requires an annual fee of HK$550. To join the COF, simply fill in the Circle of Friends application form and follow the instructions stipulated. For enquiries, please send email to friends@lib.hku.hk or call 2859-8903.
  2. Graduate Borrower's Card:
    Card Holders can borrow up to 12 books and 6 audio-visual items with a maximum of 3 movies at one time. Application for the Graduate Borrower's Card can be made at the Registration Counter of the Main Library. A refundable deposit of HK$500 and a non-refundable cost-recovery fee of HK$35 for the smart card will be needed for this application. The deposit can be waived if you hold a BEA Graduate Credit Card; and the Borrower's Card will expire when the credit card expires. Renewal of the credit cards will not automatically renew the Borrower's Cards. Graduates need to inform the Libraries about the renewal of their credit cards in person.   3. Graduate Reader's Card:
    To get on-site access to library resources graduates only pay a cost-recovery fee of HK$35 for the smart card itself. Applications should be directed to the Registration Counter, Main Library. For more information, please send email to libcir@hkucc.hku.hk or call 2859-2202.


HKU SPACE staff, students and alumni


I am a HKU SPACE staff. How do I apply for a library card?

If you have a HKU staff card, you can use this card as your library card.


For SPACE part-time tutors who do not have the HKU staff card, you will be issued a Borrower's Card on recommendation by the Human Resources Department of SPACE. The library card will be valid for the duration of your contract. Please bring your HKID card, a passport size photograph, the notification letter for library access, and $35 for the University-levied smart card fee (waived if you already possess a facilities access card) to obtain the library card from the Registration Counter of the Main Library. A fee of $100 will be levied for the replacement of a lost card.


I am a HKU SPACE student. Do I have access to the HKU Libraries?

Students at HKU SPACE should receive from the School notifications with regard to library access. Type of access, if any, will vary depending on programs or courses. If library access is offered with your program, please bring your HKID card, the notification letter, the old library card if you have one, $35 for the University-levied smart card fee (waived if you already possess a facilities access card), and a passport size photograph for first time applicants to the Registration Counter on the ground floor of the Main Library to apply for a library card. Please note that a fee of $100 will be levied for the replacement of a lost card.


I am a HKU SPACE graduate. Can I apply for a library card?

In general, SPACE alumni who have applied for a HKUL card during their study at HKU SPACE can join the Circle of Friends to gain access to the library.


Members who are affiliated with HKU


I am a resigned or retired staff. Could I use the Libraries?

All ex-Terms of Service I and retired staff members are eligible for library card application. Please send email to libcir@hkucc.hku.hk for details.


I am a spouse of a HKU staff. Do I have access to the HKU Libraries?

Spouses of all existing HKU staff may apply for a Borrower's Card from the University Libraries. To apply for a spouse card, HKU staff should register their spouses’ information in the Human Resource Section, and then fill in the HKU Staff Spouse/Dependent Children Cards Application Form. For the spouses who possess HKU Facilities Access Cards, please bring the cards to the Registration Counter (Main Library) in 3 working days after you have submitted the e-form, in order to update the information stored in the cards. For those who do not have HKU Facilities Access Cards, please bring a passport size photograph and a cost recovery fee of $35 for the smartcard to the Registration Counter in 3 working days after you have submitted the e-form. The library card will then be ready for pickup in 7 working days.


I am a child of a HKU staff. Am I eligible to apply for a library card?

If your age falls between 16 and 19, or you are above 19 and below 25 of age but are still pursuing your full-time first degree at a university, polytechnic or equivalence, you may apply for a Borrower's Card from the University Libraries. To apply for a dependent card, HKU staff should register their children’s information and provide a piece of student identification to the Human Resource Section, and then fill in the HKU Staff Spouse/Dependent Children Cards Application Form. For the dependents who own HKU Facilities Access Cards, please bring the cards to the Registration Counter (Main Library) in 3 working days after you have submitted the e-form, in order to update the information stored in the cards. For those who do not have HKU Facilities Access Cards, please bring a passport size photograph and a cost recovery fee of $35 for the smartcard to the Registration Counter in 3 working days after you have submitted the e-form. The library card will then be ready for pickup in 7 working days.


I have an old pictured library card. Can I still use it?

Various SmartCards have been introduced as part of the Digital Campus Initiative and serve as proofs of identity for access to the library, replacing the old pictured library card. If you hold both types of cards, please return your old library card to the Registration Counter on the ground floor of the Main Library where your library record will be consolidated. If you only hold an old library card, you should apply at the Registration Counter to have your card replaced.


Members who are not affiliated with HKU


I am a member of another tertiary institute. May I use the HKU Libraries?

If you are a higher degree student or Terms of Service I (or equivalent) staff member at any of the University Grants Committee-funded institutions, you may be able to obtain a JULAC (Joint University Libraries Advisory Committee) Card for access to HKU Libraries' resources. The card will entitle you to take out a maximum of 10 items. Enquire at your institution's library for eligibility information and application details.


All UGC-funded undergraduate students are eligible to apply for reader's cards to gain admission to other UGC-funded libraries. This reader's card does not carry borrowing privileges and is valid until 31 July of each academic year. Students are entitled to apply for reader's cards each year during their course of study. A cost-recovery notional charge of $50 will be collected on application of each reader's card per library. Enquire at your institution's library for eligibility information and application details.


Scholars and full-time students of overseas universities with a bona fide research need are in general given access to the library without borrowing right at a cost of HK$35 for a maximum of 3 months (at no charge for access of less than 1 month) within one academic year. You may apply in person by presenting relevant documents at the Registration Counter (Main Library), or by sending these documents to the Lending Services Librarian at libcir@hkucc.hku.hk. Please note that part-time students of overseas universities as well as external students of distance learning programmes are not eligible for this privilege.

Members of the public


I am a member of the public. Can I apply for a library card?

To be a part of this HKUL community, you are welcome to join HKUL Circle of Friends which is a group of friends and book lovers who support the Libraries. Members of the public in Hong Kong who can demonstrate a bona fide research need to use the library's academic resources may be given on-site access privileges to the library for up to 3 days within an academic year. This access does not include borrowing privileges. To apply for access to the Libraries, please send a written request addressed to the Lending Services Librarian.
